The signs you've outgrown off-the-shelf software, and how to decide between customising and building.

Off-the-shelf CRMs are built for the average business. That's their strength, and eventually their limit.

The signs you've outgrown it

  • Important work happens in spreadsheets next to the CRM, not inside it.
  • Your team has invented workarounds for stages the software doesn't understand.
  • Reports need exporting and rebuilding before anyone can read them.
  • You pay for seats and features most people never use.
  • Integrations break, or don't exist for the tools you rely on.

Customise or build?

If your process is close to standard, customising a platform like HubSpot or Zoho is usually the faster, cheaper path. If your process is your advantage, such as how you onboard clients, run projects or price work, a custom CRM can fit it exactly.

The question isn't which CRM is best. It's which one matches the way your business actually works.

Build in stages

A custom CRM doesn't need to arrive all at once. Start with the module that removes the most friction, put it in your team's hands and add the next one when the first is working.
